Eastridge Legal is retained for a leading international law firm recognized for corporate, estate planning, and real estate industries they serve, seeking an experienced Transactional Legal Secretary. Under general supervision from the Office Administrator, the Legal Secretary, Corporate/Tax provides full administrative support to assigned partner and associate This is a full-time, non-exempt position resident in Century City Office with excellent benefits.

Essential Duties and Responsibilities

  • Provides confidential administrative support to assignments, performing secretarial tasks of a confidential nature including, but not limited to, composing or preparing documents and correspondence that requires knowledge of legal terminology and using advanced formatting skills.
  • Compiling and organizing minute books, closing binders, and corporate organizational documents
  • Preparing engagement letters, boiler-plate agreements, shareholder mailings, closing documents, signature checklists, and stock certificates
  • Working with the Accounting Department to resolve billing problems and efficiently process final billing statements and letters
  • Making domestic/international travel arrangements, including air transportation, automobile rentals and hotel reservations. Timely preparing and submitting proper expense reports
  • Submitting accurately completed paperwork to various firm departments, including conflicts and new business intake
  • Coordinating timekeepers' calendar and reminding of various meetings, appointments, events, etc.
  • Scheduling meetings, arranging for conference rooms and requesting conference room service for meals and beverages
  • Duplicating documents, papers and other materials as needed or submitting large duplicating jobs to Vendor Services with accurate duplicating order forms
  • Proofreading, editing, red-lining large documents
  • Schedules appointments and performs other tasks related to maintaining assignments’ calendars; schedules and coordinates meetings and conferences, including extensive travel, lodging, transportation, and meal arrangements.
  • Handles in-coming correspondence (including gathering and/or preparing needed materials for lawyer’s review of same in timely fashion), as well as out-going correspondence, including mail, emails to clients, faxes, hand deliveries, FedEx’s, etc.
  • Drafts, edits and disseminates information through presentations, charts, graphs, diagrams, spreadsheets, letters, email, mail, memos, itineraries, etc.
  • Answers telephones and delivers accurate and timely messages.
  • Inputs attorney time as needed utilizing the Firm’s time entry software on a daily basis.
  • Interacts with clients, vendors, attorneys and staff to maintain good relations.


  • Work experience in Estate Planning, Tax, Transactional or Corporate law required.
  • High School Diploma required. Bachelor's degree preferred.
  • Minimum of three (3) years work experience in a law firm environment, or related professional experience.
  • Knowledge of FileSite, iManage, and Elite software is helpful.
