About the Role

We’re looking for an organized self-starter to join the team as a Recruiting Coordinator to ensure our candidates have an amazing experience from beginning to end. You’ll be responsible for scheduling a high volume of interviews on a weekly basis.

You’ll have high exposure to our senior leadership teams and be encouraged to lead process improvement projects that will have a direct impact on our candidates and business. We need someone who can thrive in a constantly evolving, fast paced environment. You will play a very pivotal role in our companies success. No pressure, we’re all counting on you!


  • Take ownership of and drive all aspects of recruitment process administration through pro-active communication and anticipation of candidate, interview and recruiter requirements
  • Schedule all phone, video, and on-site interviews for the business
  • Complex calendar management (often time in different time zones)
  • Prompt follow up and communication with candidates from initial contact to start date
  • Enter and track candidate information in the applicant tracking system
  • Provide hiring managers and relevant parties with appropriate documentation pre and post interview
  • Process new hire documentation including offer letters and employment contracts
  • Work closely with HR to ensure onboarding information is provided promptly
  • Manage candidate travel expenses and all administrative support functions for the team
  • Manage vendor contracts, purchase requisitions and track invoices
  • Own Recruiting Programs such as Employee Referrals, Internships etc.
  • Constantly improve our process and candidate experience
  • Think ahead and troubleshoots; removes obstacles before they become problems


  • Track record of working successfully within an administrative or scheduling role
  • Experience managing multiple calendars, often in international time zones, for senior team members
  • Ability to multitask, prioritize and complete a high volume of tasks and projects autonomously
  • Impeccable attention to detail and problem-solving skills
  • Reacts with urgency and tenacity to situations that require quick response or turnaround
  • Excellent written and verbal communication skills in English
  • Proficiency with business applications (email, calendar, spreadsheets, etc.)
  • Bachelor’s degree preferred with 3-5 years of relevant work experience
